My whole life in LB + further remarks about Tagging and Linking
In addition to my previous post, I want to mention that I hold EVERYTHING in LB. My whole life.
All the business and private Task Management.
I must have well over 1500 entries in my outline scheduling ToDos two years from now (and that's not counting repeating ToDos of course). if you collapsed all my outline on the iphone you could scroll your finger off!
I have all my someday/maybe tasks and projects in here, updating a license or getting a new passport in two years is all scheduled in. Two dimensional filtering (being abel to include one Place into others does NOT make it three dimensional!) is simply not powerful en enough to manage that amount of data!
The two little tweaks I mentioned TAGGING and LINKING can make it practical to truly manage one's entire life on LB.
Another little simple two tweaks I forgot to mention are:
••• adding few viewing Modes to the outline:
VIEWING MODES
1) Standard (everything)
2) Hide Inactive (hiding projects and tasks that haven't started yet.
3) Future Only — show only Projects and Tasks that start in the future.
4) Only completed — when you have hundreds of tasks in the outline it is very helpful to see only the checked ones!
••• IMPROVED SEARCH
1) When Searching on the desktop show both the next result in the outline as you show right now, but also show a list of matching results
2) FILTER THE SEARCH RESULTS — on both desktop and mobile device, simply show the search results in a similar list like the ToDo list (in fact Search can be another tab on the desktop after "Balance" for example).
Then allow to filter the search results by
Place (multi-select/exclude), Importance (trash-hold), Effort (trash-hold)
as well as
Show Only Projects, Show Only ToDos, Show All
Here is the (very awkward) way one can currently (try to9 simulate tagging and linking:
TAGGING
The only way to simulate it is by creating a separate "Place" for each compound scenario.
For example:
"Burned Out — @home"
"Burned Out — @office"
"Burned Out — @hotel"
etc..
Another example:
"@computer + @home"
"@computer + wherever with internet"
"@computer + Burned Out"
"@computer + @office + after hours"
"@computer + @office + working hours"
"@computer + wherever without internet + after hours + Burned Out"
"@computer + @office + @Home"
"@computer + @office + after hours"
"@computer + @office + after hours"
If you follow my advise and include also EXclusion of (multiple) Places, one could create "very smart" and useful lists on the fly that right now cannot even be simulated.
For example:
"@computer + Burned Out – working hours" (burned out at the computer NOT in working hours)
LINKING
I simply paste my URL links into the notes section (Daylite items URLs, Yojimbo URLs, box.net URLs, dropbox URLs)
To activate the links I need to copy them to a browser and press .
I am surprised that even on the desktop version, even on right click the URL is not recognized as such.
CURRENT SOLUTION FOR
I also name ToDos or Project that are "Waiting For" somebody or have been "Delegated" with a ">" in the beginning of the name. And if I need to "flag" an item I put a "*" at the beginning of the name.
Then I can always search for ">" or "*" to get a list of delegated items or flagged items.
